OPPORTUNITY
Facing a large-scale office move, this leading national law firm sought to reduce its physical records footprint by scanning active attorney files and non-system (non- client/matter files held by attorneys, i.e. research). The Firm needed to implement a structured, defensible approach that aligned with its broader information governance goals—while ensuring all scanning work was completed before relocation of its home office.
PROCESS
Mattern partnered with the Firm to design and manage a comprehensive pre-move scanning initiative. Mattern defined a three-phase workflow—pre-scanning, scanning, and post-scanning—and facilitated executive sponsorship to ensure internal alignment.
Key actions included:
- Developed a decision tree for attorneys to classify documents: destroy, store off-site, or scan.
- Implemented DocSolid software integration with iManage for consistent indexing and barcode tagging.
- Recommended folder-level scanning for inactive files to streamline workload.
- Managed an RFP process to identify the most cost-effective, qualified scanning partner.
For scanning execution, Mattern coordinated the setup of a dedicated scanning center at the home office and ensured a seamless chain of custody, quality control using DocSolid’s module, and final iManage integration.
